The best place to begin a residential wedding is with the people who will be staying. Before comparing lawns or choosing a mandap, work out where your parents will rest, whether siblings need connecting rooms and how guests arriving early will freshen up. Those small decisions shape how comfortable the whole celebration feels.

For wedding room blocks in Uttarakhand, compare three things together: the rooms you can actually contract on each night, the spaces reserved for your functions and the financial commitment if the guest list changes. A resort buyout can give you greater privacy, but the agreement needs to spell out what that privacy includes.

This guide helps you compare a room block, a private buyout and a main venue with nearby accommodation. It includes a worked rooming example, questions to put in a hotel brief and details to resolve before a deposit. Public hotel information was checked on 6 October 2026; availability and commercial terms still require a written proposal for your dates.

Start with households rather than a headcount

Your wedding guest count and your overnight guest count answer different questions. A Dehradun reception might include relatives who live locally, while the outstation family needs accommodation for two nights. A guest arriving the evening before the haldi creates another room-night even if the formal wedding programme lasts only two days.

Make a household list before deciding that everyone can share two to a room. Record arrival and departure nights, preferred sharing, children, bed type and any access requirements volunteered by the guest. Ask the hotel which room categories permit the proposed occupancy and what extra-person or child charges apply. A suite is not automatically several usable bedrooms.

Keep guest bedrooms separate from changing rooms, hospitality storage, artist accommodation and the rooms needed by your production team. A room used for bridal preparation may still be a guest bedroom, so count it once unless a separate room is genuinely required. Give parents and older relatives a clear route between their rooms, meals and functions; ask for a physical walkthrough rather than relying on a general accessibility description.

How many rooms do you need for 200 wedding guests

Consider this illustration, not a hotel quote. There are 200 people attending, of whom 160 stay overnight for two nights and 40 attend as day guests. Assume the 160 overnight guests can comfortably and permissibly share 80 double-occupancy rooms. Add four separately needed operational rooms for the same two nights.

That gives 84 rooms each night and 168 room-nights. If ten of those guest rooms are needed the night before, add ten room-nights, bringing the total to 178. The 40 day guests still need to be included in the relevant meal and event counts, but they do not create overnight rooms.

Now imagine the main property offers only 65 rooms on both main nights. Your shortfall is 19 rooms per night. Putting those rooms into a nearby hotel means planning transfers and breakfast arrangements as well as paying another accommodation bill. Alternatively, you could revise the guest plan or choose a property with a larger confirmed allocation.

As a purely hypothetical calculation, 178 room-nights at an assumed INR 12,000 per room-night would equal INR 21,36,000 before any separately payable items. INR 12,000 is an invented teaching assumption, not a current Uttarakhand tariff. Real quotes can vary by room category, date, occupancy and inclusions. Replace the single rate with the actual nightly category rates before making a budget decision.

Choose the accommodation arrangement that suits your family

A room block within a larger hotel

A block reserves an agreed allocation for the group under stated booking and payment conditions. Other guests may still be staying at the property. This can suit a family that wants room-category choice without committing to the entire hotel, provided the wedding spaces and circulation routes work alongside normal hotel operations.

Ask whether the arrangement is a courtesy hold, a guaranteed allocation or a minimum-revenue commitment. These labels need a written explanation. Check who makes each reservation, who pays, when unused inventory is released and whether bookings made outside the group channel count towards your commitment. Do not assume rooms will be on one floor or in one wing unless confirmed.

A resort buyout

If you want the wedding to feel like a shared family retreat, a buyout may be worth comparing. Ask the property to define the rooms and facilities covered, the exact start and finish times and any spaces that remain open to outsiders. Booking all bedrooms does not, by itself, tell you whether a restaurant, spa or function area is exclusive.

Also resolve the handover. A previous guest checking out at noon and your family arriving that morning can leave a gap between the atmosphere you imagined and the space actually available. Confirm cleaning time, luggage arrangements, changing facilities and when the décor team may enter. Buying exclusivity is most useful when it improves the guest experience you genuinely need.

A main venue with an overflow hotel

An overflow plan can keep a much-loved venue in consideration when its bedrooms are insufficient. Its success depends on the journey between the two properties. Check the route with suitable vehicles, safe pickup points, parking, luggage and the last return transfer after the evening function.

Decide which households stay together before assigning hotels. A parent staying at one property while the rest of the immediate family gets ready at another may be technically accommodated but poorly served. Include a named hospitality contact for each hotel, a clear breakfast plan and a way to assist anyone who wants to return early.

What advertised hotel inventories can and cannot tell you

Official property pages offer a useful starting point for shortlisting. Hyatt Regency Dehradun Resort and Spa advertises 263 guest accommodations, including 24 suites. Taj Rishikesh advertises 32 rooms and 47 villas, or 79 accommodations. Taj Corbett advertises 61 rooms and 14 suites, or 75 accommodations. [1] [2] [3]

These figures describe three different inventory scales. They are not date-specific wedding allocations, confirmed bed counts or buyout offers. In the 84-room illustration above, 79 or 75 units would not cover the assumed requirement even if every unit were available; changing the sharing plan requires checking actual categories and permitted occupancy. A larger published inventory also does not guarantee the requested 84 rooms are available.

Use the same enquiry sheet for every shortlisted property. Request a nightly category breakdown, quantities available, occupancy rules, upgrade charges and any rooms unavailable through maintenance or existing reservations. For Mussoorie, Rishikesh and the Corbett resort belt, compare the exact property addresses and approach routes rather than treating a destination name as a single transfer location.

Match bedrooms with the function spaces you will actually use

A hotel can meet your bedroom requirement and still need a different plan for the wedding dinner. Compare the seated layout for your function, with the mandap or stage, meal service, aisles and production equipment included. Ask the hotel to mark what is reserved exclusively and what is shared.

Taj Rishikesh illustrates why layouts matter: its official venue page lists Sports Lawn for 250 reception or 140 circular seating, while Salle is listed for 120 reception or 60 circular seating. Those are different spaces and layouts, not interchangeable capacities. They do not establish a same-size indoor backup for an outdoor wedding. [4]

Request a practical wet-weather plan before committing. Which room is held, what fits after the setup is installed, when is the decision made and who pays for a changeover? Check the guest route as well as the main space. Shelter over the ceremony alone does little for someone walking through rain to dinner. Review current weather warnings close to the event and agree operational decisions with the property.

Read the room commitment before comparing the discount

A lower headline room rate is only helpful when you understand what happens if fewer guests travel. Hotels may use different release dates, minimum room or revenue commitments and cancellation schedules. Read your own proposed agreement and ask the hotel to explain the arithmetic with an example matching your booking.

Hyatt's published general group agreement illustrates the distinction between releasing unused rooms at a cut-off and calculating a revenue shortfall. It also includes resale provisions. This is a general example of contract concepts, not evidence that those terms apply to Hyatt Dehradun or another Uttarakhand wedding booking. [5]

Before paying, ask for written answers to these points: the minimum commitment by night; what a reduction costs; whether room-category substitutions count; the cut-off and rooming-list dates; name-change conditions; deposit milestones; cancellation and postponement charges; and how any qualifying resale is credited. Have a qualified adviser review terms you do not understand. A planner's comparison sheet helps you ask better questions; it does not replace legal advice.

Compare the whole stay rather than a single room rate

Put the competing proposals beside each other using the same household list and programme. Show accommodation by night and category, included meals, separately charged meals, venue hire, extra occupants, early arrival arrangements and transfers. Keep planning, décor and production scope visible too. Ask the property to show applicable taxes and any mandatory charges rather than assuming a single all-inclusive figure.

Avoid counting meals twice. If a residential package includes breakfast, retain that inclusion when comparing it with a room-only rate plus breakfast. Equally, clarify whether a wedding dinner replaces an included meal or is an additional banquet charge. Ask whether crew meals, day guests, welcome refreshments and late-night snacks sit inside or outside the quote.

A helpful final comparison has three totals: confirmed quoted cost, unresolved items awaiting a price and your own contingency allowance. Do not hide unknown items inside a confident-looking total. Plan the hours between the functions

There is a quieter side to hospitality: somewhere to leave a bag, a clear breakfast time, a room ready before changing for the evening. Design these intervals with the same care as the visible celebration. Check published check-in times against the actual arrival schedule and obtain written confirmation of any special arrangement.

Send guests one clear arrival note with their hotel address, reporting contact and confirmed check-in arrangements. Give transport instructions that a tired guest can follow. Collect only the rooming information needed, share it with the relevant hotel securely and keep identification documents out of broadly circulated guest lists. The wedding programme should leave room for rest, especially when travel and several outfit changes fall on the same day.

A short checklist before paying the hotel deposit

– Reconcile overnight guests, day guests and operational rooms for every night.

– Confirm the room categories, permitted occupancy and who pays each bill.

– Define exclusivity and the handover times in writing.

– Attach the agreed function layouts and reserved weather backup.

– Compare meals, transfers, taxes and other exclusions on the same basis.

– Read the reduction, cancellation, release and payment dates.

– Assign responsibilities across the hotel, family and planning team.

Is a buyout cheaper than booking a room block

There is no reliable universal answer. Compare the full commitment, facilities and inclusions for the same dates. Paying for unused rooms can outweigh a lower rate; a well-matched buyout may offer privacy that your family values enough to justify its total cost.

Can a 100 room hotel host 200 wedding guests

Only the actual category mix, permitted occupancy, guest sharing preferences and contracted availability can answer that. Also check operational bedrooms, day guests and event layouts. Dividing the guest count by two is a starting illustration, not a confirmed rooming plan.

Does a buyout include wedding décor and catering

Include only what the written proposal expressly lists. Room exclusivity does not establish décor, production, banquet meals, transport or planning inclusions. Confirm each scope and responsible provider separately.

When should we finalise the rooming list

Work backwards from the hotel's written deadlines and your guests' travel needs. Keep a dated working list, track changes and agree who can approve them. There is no single cut-off that applies to every hotel or wedding.
