A riverside ceremony, an unhurried breakfast with family and a lively sangeet can all belong to the same Rishikesh wedding. The budget starts taking shape when you decide how many guests need rooms, how many nights you are hosting and which spaces you need for each function.
For a two-night celebration, calculate the room block and meals first. Then add event-space charges, décor, production, planning, guest transport and the other services you choose. A hotel package and a complete wedding budget can cover very different things.
This guide shows you how to compare the numbers for 100, 150 or 200 guests, shortlist suitable Rishikesh wedding venues and ask the questions that matter before paying an advance. Hotel rates and availability require a written quotation for your dates; the calculations below are planning examples, not venue offers.
A guest list of 150 does not automatically mean 75 rooms. Some guests may attend without staying; others may need single rooms, extra nights, twin beds or a particular accessible room. Children and extra occupants are subject to the property’s room-category and pricing policies.
Make a household-level rooming list before comparing hotels. Count the couple and family members within it, then add any separately required rooms for your photographers, artists or other working teams.

The useful calculation is rooms × nights × the agreed room rate, adjusted where room categories or dates carry different rates. This gives the accommodation component, not the wedding total.
Give every hotel and planner the same brief: dates, rooms per night, guest count for each function, meals, event spaces and desired production. Ask for a comparison that marks each item as included, separately priced or unresolved. An unresolved item needs an allowance before you commit.

If a room rate includes dinner, ask how that allowance applies to your sangeet dinner. Is the event menu included, upgraded for a difference, or charged separately? Does the answer change for guests staying at another hotel?
List each meal once, against its actual attendance and venue. Do the same for furniture, lighting and sound so the hotel and production quotations do not charge for overlapping services.
Tell your planner whether your ceiling includes travel to Uttarakhand, outfits, jewellery and personal shopping, or only the hosted celebration. Within the wedding budget, keep hotel spending, planning fees, décor and other suppliers visible even when one team coordinates them.
A useful total is the sum of the agreed hotel and meal costs, venue charges, selected wedding services, applicable quoted taxes and a reserve for specifically identified uncertainties. Obtain a date-specific total before choosing a venue on the strength of a package headline.
Start with four tests: can the contracted room block house your guests, do the function layouts work, is there a workable weather alternative, and does the journey suit your families?
The examples below illustrate different decisions. They are starting points for enquiries, not a ranking or a statement of current availability.
Taj Rishikesh Resort & Spa identifies its location as Singthali, 30 km from Rishikesh, and lists 32 rooms and 47 villas. That published inventory does not establish how many accommodations you can reserve, or their permitted occupancy, on your wedding dates.
Its official event-space page lists Sports Lawn for 250 in reception style or 140 in circular seating. Salle is listed for 120 in reception style or 60 in circular seating.
The implication is important: a circular-table event using the lawn’s listed 140-person capacity would need a different solution if moved to Salle. Ask the hotel to propose and approve the complete alternative layout. Published numbers alone cannot settle the wedding plan.
For couples exploring a ballroom-led wedding near Rishikesh, examine The Westin’s official event spaces. Its Grand Ballroom capacity chart lists 350 for a banquet and 500 in theatre seating. The page also contains a different broad capacity claim, making a current, written layout confirmation particularly important.
Ask for the usable space after adding your stage or mandap, dance floor, food service, production equipment and circulation. A seated dinner, a ceremony and a sangeet need separate plans. Confirm which spaces and setup hours the contract reserves for you.
If the river is central to your vision, ask exactly where the ceremony happens and how guests reach it. Check paths, steps, lighting, suitable footwear and an alternative if the intended area cannot be used. A river-facing photograph does not confirm permission for a riverside setup.

Agree who decides to move the event, by what time, and what the change costs. Include labour, transport, revised décor and any additional venue hours. Walk the wet-weather route from guest rooms and drop-off points to the function and dining areas.
Decorative overhead fabric should not be treated as weather protection. Any temporary shelter needs the venue and qualified supplier to approve its suitability for the intended conditions.
Price transfers to the actual property, using the confirmed hotel address. A resort outside the town and a hotel near the centre can involve different arrival arrangements even when both are described as Rishikesh wedding venues.
Create arrival groups around confirmed flights or trains. Allow for baggage collection, loading, the road journey, check-in and time to get ready before the first essential function. For families travelling from abroad, discuss whether early arrivals need rooms the previous night rather than relying on complimentary early check-in.
Ask for the transfer quote to cover vehicle type, luggage capacity, waiting, parking, tolls, driver arrangements and late arrivals. If guests are split across hotels, include a scheduled return service for relatives who want to leave before the final dance.
During a site visit, follow an older guest’s route from their proposed room to breakfast, the ceremony and dinner. Confirm steps, lifts, walking distances and available assistance with the property. Keep the overnight room count, meal count and transfer-seat count separate: they will rarely stay identical.

If all 100 guests stay and share two to a room, the starting calculation is 50 rooms per night. Adjust for single occupants, families, permitted extra beds, access needs and separately required team rooms. Confirm the actual rooming list before signing the block.
Ask the hotel to define it in writing. Confirm which accommodations, restaurants, lawns, halls and public areas are exclusive, for which hours, and which remain shared. A large room reservation alone does not establish exclusive use of every facility.
It depends on the written scope. Check whether the quoted package is for rooms and meals, venue use, or a broader set of services. Request separate descriptions of planning, décor, production, hospitality and supplier costs, including exclusions.
Fewer guests can reduce room, meal and transport requirements, but stage, entertainment, design and technical costs may not fall proportionately. Ask for the revised total at two guest counts, including any minimum room or food commitment.
